About the Job

The U.S. Embassy in Copenhagen is seeking a qualified Housing Assistant to support the logistics of the Embassy's housing program for incoming personnel. Working under the direct supervision of the Residential Housing Coordinator, the incumbent assists in the administration of the housing inventory.

This position requires strong organizational and communication skills to maintain efficient housing operations for the Mission community.

What You'll Do
  • Assist in maintaining the housing database, the Real Property Application, and help ensure resident and property information remains up to date.
  • Assist with lease agreements and renewals and verify property ownership through public records.
  • Participate in the annual Market Survey and support waiver applications.
  • Coordinate activities to make residences ready for tenants, including preparing arrival and departure information, distributing housing surveys, and conducting walkthroughs.
  • Maintain relationships with landlords, agents, and property managers to ensure housing quality and cost effectiveness.
  • Ensure timely processing of lease and utility payments for government leased and owned properties.
  • Enroll utility services, resolve billing issues, and coordinate fund citations for landlord reimbursements.
  • Monitor the Global Maintenance Management System and MyServices application to process resident work orders.
  • Serve as the communication link between residents and landlords on maintenance concerns.
  • Provide administrative and logistical support to the Interagency Housing Board, including preparing agendas, housing catalogs, and presentations.
  • Process Purchase Requests and Purchase Orders related to housing needs.
  • Serve as a Government Purchase Cardholder, making authorized purchases in accordance with Federal Acquisition Regulations and Department of State policy.
  • Maintain the key inventory list and perform other duties as assigned to support the housing program.

Qualification Requirements

Education
  • A minimum of two years of college or university studies in business administration, English studies, mathematics, or related general coursework is required.
Work Experience
  • A minimum of three years of experience as an Administrative Assistant or in a clerical setting, or equivalent experience in the financial field, is required.
Language Proficiency (This may be tested)
  • English: good working knowledge (speaking, reading, and writing).
  • Danish: limited knowledge (speaking, reading, and writing).
Knowledge, Skills, and Abilities
  • Strong math skills and advanced administrative abilities.
  • General computer literacy, including proficiency in Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint.
  • Customer service orientation with excellent oral and written communication skills.
  • Strong organizational abilities and tact.
  • Ability to interpret and apply housing policies and regulations.
  • General knowledge of the local realty business, rental sources, and real property market conditions.
  • Valid driver's license required for operating automobiles and small trucks.

Benefits Package

Grade/Salary: LE-7 – DKK 489,062 per year

This position offers a competitive compensation and benefits package, including:

  • Vacation Bonus: A vacation bonus equivalent to 3.4% of basic salary is paid once a year in May.
  • Merit Based Compensation Bonus: A performance-based bonus equivalent to approximately 3% of basic salary.
  • Paid Vacation: 30 days of paid vacation per year.
  • Additional Holidays: Approximately 18 to 19 additional Danish and American holidays per year.
  • Pension Contribution: The employer contributes 10% of the employee's basic salary to the employee's pension plan.
  • Vision Care: Reimbursement for screen glasses.
